1. Introduction

MicroBackups ("we", "us", or "our") is committed to protecting your personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our backup services and website.

2. Data we collect

We collect the following categories of personal data:

  • Account data: Name, email address, company name, and billing information when you create an account.
  • Usage data: Log data, IP addresses, browser type, pages visited, and actions taken within the service.
  • Backup data: The data you back up from Google Workspace or Microsoft 365. This is processed on your behalf as a data processor.
  • Communications: Messages you send us via email, contact forms, or live chat.

3. How we use your data

  • To provide and maintain the MicroBackups service
  • To process payments and manage your subscription
  • To send transactional emails (backup status, alerts, invoices)
  • To respond to support requests and enquiries
  • To improve our service through aggregated, anonymised analytics
  • To comply with legal obligations

4. Backup data and data processing

We act as a Data Processor for the data you back up. We process this data solely on your instructions and in accordance with your Data Processing Agreement (DPA). We do not access, analyse, or use your backup data for any purpose other than providing the backup service. A DPA is available on request at compliance@microbackups.com.

5. Data storage and residency

You choose your backup data storage region at setup: United States, European Union, United Kingdom, Canada, or Australia. Your backup data is stored exclusively in your selected region. Account and billing data is processed in the United States.

6. Data sharing

We do not sell your personal data. We share data only with:

  • Sub-processors: Cloud infrastructure providers (GCP, AWS) under binding data processing agreements. A full sub-processor list is available on request.
  • Payment processors: For billing and subscription management.
  • Legal authorities: When required by law or court order.

7. Your rights

Depending on your location, you may have the following rights regarding your personal data:

  • Right to access your personal data
  • Right to correct inaccurate data
  • Right to request deletion of your data
  • Right to data portability
  • Right to object to or restrict processing
  • Right to withdraw consent at any time

8. Data retention

Account data is retained for the duration of your subscription and for up to 90 days after account closure, unless a longer retention period is required by law. Backup data is retained per your configured retention policy. Upon account closure, backup data is deleted within 30 days.

9. Security

We implement industry-standard security measures including AES-256 encryption at rest, TLS 1.2 in transit, access controls, multi-factor authentication, and regular third-party security audits. See our Security page for full details.

10. Cookies

We use strictly necessary cookies for authentication and session management. We use analytics cookies (with consent) to understand how visitors use our website. You can manage cookie preferences via the cookie banner on your first visit.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or via an in-app notice. Continued use of the service after notification constitutes acceptance of the updated policy.
